Terms & Conditions

1. Agreement

These terms govern your organisation's access to and use of the Vortrek travel risk intelligence platform ("the Service"). By creating an account or using the Service you agree to them on behalf of your organisation.

2. The Service

Vortrek generates travel risk assessments, briefings and approval records from itinerary and traveller information you supply. Assessments are decision-support material. They are not legal, medical, security or insurance advice, and they do not replace your own duty of care processes or professional judgement.

The output is automated: it saves research time but can miss nuance, context or recent developments that a human review would catch. You are responsible for checking that every assessment is relevant to your organisation's needs, matches the actual itinerary and traveller circumstances, and is fit for the decisions you make from it. Do your own homework. If you need a bespoke risk assessment prepared by a human analyst, contact enquiries@atlasrisk.com.au.

Risk intelligence is sourced from reputable government and official sources. Vortrek does not conduct independent intelligence analysis or verification of that source material.

Vortrek's workflow is aligned with the structure of ISO 31000 and ISO 31030, but alignment is not certification. Vortrek is not certified or accredited to ISO 31000, ISO 31030 or any other standard, and neither standard offers certification for a software product.

3. Your responsibilities

  • Provide accurate itinerary and traveller information.
  • Keep account credentials secure and enable multi-factor authentication.
  • Only upload personal information you are entitled to share with us.
  • Review every assessment for relevance, accuracy and suitability before acting on it; automated output does not replace your own verification.
  • Do not use the Service unlawfully or to build a competing product.

4. Plans, fees and taxes

Paid plans are billed monthly in advance in Australian dollars. GST is added on top of the listed prices where applicable. Usage beyond your plan's included assessments is charged at the published per-assessment rate and invoiced with your subscription. You may cancel at any time; access continues to the end of the paid period.

5. Data and confidentiality

You retain ownership of the data you submit. We process it to deliver the Service, as described in the Privacy Policy, and treat it as confidential. Assessments, audit records and acknowledgements are retained for your organisation's configured retention period where one is set, and otherwise until you delete them or close your account. Deleted records are purged automatically after a 30-day recovery window, unless a legal hold applies. On termination you may export your data before deletion.

You always have access to copies of the assessments, briefings and records you produce through the Service. You should retain and rely on your own copies of those documents to satisfy any internal or regulatory record-keeping requirements.

Generating assessments involves third-party processing. Content is sent to AI model providers in de-identified form wherever practicable, but how that data is handled once received is limited by each provider's own capabilities and terms, which we do not control. Current sub-processors are listed in the Privacy Policy.

While we take reasonable steps to secure your data and only ask for the minimum information required to deliver the Service, you should not submit anything into the system that is sensitive, or which may cause you or anyone else harm if it were subject to a data breach or similar event.

6. Availability and liability

We aim for continuous availability but do not warrant that the Service will be uninterrupted or error-free. To the extent permitted by law, our aggregate liability for all claims is limited to the total subscription fees you paid in the twelve months preceding the claim, and we are not liable for indirect, consequential or economic loss, or for decisions made in reliance on automated assessment output. Nothing in these terms excludes rights that cannot be excluded under Australian Consumer Law; where liability cannot be excluded, it is limited to resupplying the Service or paying the cost of resupply.

7. Suspension and termination

We may suspend access for non-payment, security risk, or material breach. On termination you may export your data for a reasonable period, after which it is deleted in line with our retention processes.

8. Changes to these terms

We may update these terms. Material changes are published with a new version identifier and you will be asked to accept them the next time you sign in.

9. Governing law

These terms are governed by the laws of New South Wales, Australia. You and we submit to the non-exclusive jurisdiction of the courts of New South Wales and the Commonwealth courts sitting there.
